Invite staff, assign roles, restrict access by home, and configure your organisation.
Staff roles
BoolCare has three staff roles: Manager (full access to all features, settings, and reporting), Senior Carer (can create and publish care plans and risk assessments, and access all forms), and Carer (can complete forms and daily notes, and view resident profiles). Roles are assigned per care home.
Inviting staff
Go to Settings > Team and click "Invite Staff". Enter the staff member's email address and select their role and which care homes they should have access to. They will receive an invitation email valid for 7 days. You can resend invitations from the Team page.

Multi-home access
A staff member can have different roles in different homes. For example, a senior nurse may be a Manager at their primary home and a Senior Carer at a satellite site. Permissions are evaluated per home — staff only see the homes they have been granted access to.
Export data permission
The Export data permission controls who can take resident information out of BoolCare. It covers: Download PDF on care plans and risk assessments, Export all (PDF) on a resident's Care Plans tab, the PDF button on consent records, Print on handovers, Export CSV on the daily notes and form submissions reports, Export CSV and Print on the food and fluid and MUST reports, and creating PDFs with the AI Assistant. Without it, those buttons are hidden and the download is refused. By default owners, admins and managers have it; senior carers and carers do not. Change it per role in Team > Manage role permissions under Data Export, or for one person on their profile under Global permissions. Some modules have their own export permissions instead, such as kitchen printouts in Meal Ordering, the Doctors List report and policy downloads.

Organisation settings
Settings > Organisation lets you configure: care home names and addresses, CQC registration numbers, your organisation logo (used on exported documents), default review periods for care plans and risk assessments, and notification preferences for overdue reviews.
Billing and usage
Settings > Billing shows your current plan, next billing date, and monthly AI query usage. Upgrade, downgrade, or cancel your subscription here. When upgrading, the new plan takes effect immediately and you are charged a prorated amount for the remainder of the billing period.
